SAP interface or SAP integration: Why the type of connection is crucial

Basically, there are two ways in which a third-party application can be connected to SAP ERP: via a classic SAP interface or through a complete integration into SAP.

An SAP interface is always necessary if the external system is not directly based on SAP technology . In this case, data must be exchanged between the two systems. The interface takes on the task of capturing information from the ERP system, transforming it into an understandable format for the connected system and then passing it on โ€“ and vice versa.

The situation is completely different with a true SAP integration. Here, the application is embedded directly in the SAP ERP system. This eliminates the need for a detour via interfaces, as the solution directly accesses SAP’s central database. This not only saves time, but also significantly reduces the complexity of the IT landscape.

Interface: Flexible but error-prone

An SAP interface is used when a system is not based on SAP technology and the third-party system is therefore to be operated completely independently. The interface ensures that data can be exchanged between SAP and the third-party system. The problem: Redundant data storage and delayed synchronization often lead to data deviations. Decisions based on outdated data โ€“ for example on production planning โ€“ are then not uncommon.

In addition, every change to the SAP system or third-party application requires adjustments to the interface. Troubleshooting is often time-consuming, as it is unclear whether the problem lies with SAP, the interface or the third-party application. And: Most of these systems are technological black boxes โ€“ adjustments are difficult or only possible with specialist knowledge.

Integration: Efficient, transparent, future-proof

With true SAP integration , the application is embedded directly into SAP โ€“ without an external interface. This means: a common database, no media discontinuities, no redundant functions. End-to-end processes can be mapped consistently and efficiently. And that makes sense, because business processes are often deeply anchored in SAP ERP and linked to data and functions. In addition, the support effort is also reduced, as everything takes place in the familiar SAP environment.

Especially in the CRM area, complete integration brings decisive advantages: Sales, service and marketing teams always work with acurrent, consistent data from one source โ€“ for example, on offers, orders or customer histories. Forecasts and analyses are thus based on a reliable database, without time delays or errors due to manual exports. In this way, customers can be looked after even more personally and processes can be digitized end-to-end โ€“ an essential basis for an outstanding customer experience.

Even though many companies rely on third-party software with interfaces, there is a lot to be said for true SAP integration. Third-party providers often develop independently of the system to reach as many customers as possible โ€“ at the expense of seamless integration. In addition, the development of SAP-compatible solutions requires special know-how, which not every provider brings to the table.

Departments often choose according to the range of functions and user interface โ€“ without the overall view of the company. But a lack of integration can lead to more effort and poorer system harmony later on.

Conclusion: Thinking about integration from the very beginning

Whether interface or integration is more than a technical question โ€“ it is a strategic decision. If you want stable, transparent and low-maintenance processes in the long term, SAP integration should be considered from the very beginning when selecting software.
