Manage special conditions digitally: STIEBEL ELTRON relies on Microsoft Power Apps

With innovative solutions in building technology, STIEBEL ELTRON GmbH & Co. KG is setting standards and driving the energy transition forward with efficient heat pumps, instantaneous water heaters and ventilation systems. 

STIEBEL ELTRON operates in a three-stage sales channel and offers indirect customers, such as craftsmen or housing companies, various special conditions . These range from framework agreements and property-related rebates to discounts for exhibition and personal use.  

The administration of these special conditions was previously associated with a high level of manual effort . Various rebate models were organized via Excel spreadsheets , which made processing not only cumbersome but also error-prone. In addition, there was no central control, so that approvals often had to be coordinated across several departments . This non-standard process caused delays and made it difficult to follow-up, wasting valuable time .  

To meet these challenges, STIEBEL ELTRON decided to for a digital solution in cooperation with itmX. The aim was to optimise the special conditions process and to develop a transparent, end-to-end solution that seamlessly connects all relevant processes and stakeholders.  

From Excel to Power Apps – the path to automation

These requirements have resulted in an app in which the special conditions process is now completely digitally mapped. The app is based on Microsoft Power Apps and is fully integrated into itmX’s CRM system , which STIEBEL ELTRON also uses. This allows special conditions to be managed centrally, applications to be recorded digitally and approvals to be processed automatically. The system automatically detects the required approval levels – from sales reps to sales management – and ensures that all relevant information is available centrally.  

In addition, rebate agreements are posted directly in SAP as contracts, which has also significantly improved traceability. 

Since the go-live in June 2023, more than 2,500 applications have already been successfully processed.  

More efficiency and transparency through digital workflows

The introduction of the special conditions app has improved the internal processes at STIEBEL ELTRON significantly improved. Automation ensures faster processing and reduces manual intervention to a minimum.  

  • Clearly defined approval processes: Approval levels are digitally mapped so that all parties involved can view the status of an application at any time .
  • Reduced administrative effort:
    Automated workflows minimize errors and relieve the sales team.
  • Direct integration with SAP:
    Rebates are automatically deposited as contracts, ensuring transparent billing.

Another advantage of the new solution is the possibility of restructuring flexibly in the application themselves. Sales territories and approval levels can be easily adjusted without having to make far-reaching changes to the system. are necessary. This allows STIEBEL ELTRON to react quickly to changes and adapt the application to new requirements.

Future Outlook: Further Development and Automation

The special conditions app marks only the beginning of the digital transformation of STIEBEL ELTRON GmbH & Co.KG. In the future, the processes are to be further automated in order to: increase efficiency and transparency. In addition to expanding to a fully automated billing , the use of AI-supported processes is also planned to automatically process standard requests. In addition, the integration of extended reporting functions into the CRM system should enable even more in-depth data analysis.
